Managing Athlete Profiles

Create athlete profiles, track metrics, organize Lists, and monitor progress.

Athlete profiles give you a central place to track each player's details, physical development, and participation over time.

Add an athlete

Go to Athletes in the sidebar and click Add Athlete. Fill in the core fields:

  • Name -- first and last.
  • Sport -- the athlete's primary sport.
  • Position -- primary playing position for their sport.
  • Jersey number -- for quick identification on rosters and attendance sheets.
  • Date of birth -- used to calculate age and assign age-group context. If the athlete is under 13, you'll be prompted to collect parental consent.
  • Notes -- free-text field for injuries, medical info, parent contacts, or anything else you want on hand.
  • Contact information -- optional email and phone. Email opt-in controls whether the athlete receives progress reports.
  • Emergency contacts -- up to five contacts with name, phone, relationship, and optional email.
  • Media consent -- record photo and video consent status (granted, denied, or pending).

Track metrics over time

Each profile supports customizable measurements -- height, weight, sprint times, vertical jump, or any sport-specific metric you define.

Add metrics to a profile

Apply an Athlete Metric Template to pre-populate a set of metrics, or add metrics individually from the athlete's profile page. Each metric has a name, unit, and direction (whether higher or lower values indicate improvement).

Record measurements

Click Add Measurement on any metric to log a new data point with a date and value. Record measurements regularly -- weekly weigh-ins, monthly fitness tests, or after each combine event -- to build a meaningful history.

Read the progress chart

The platform plots measurements over time so you can spot trends at a glance. Each metric chart shows:

  • Trend line -- All data points connected chronologically.
  • Statistics -- Min, max, and average values across the recorded period.
  • Improvement indicator -- A color-coded badge showing the percentage change between the first and most recent measurement. Green means improving (in the metric's preferred direction), red means declining.

Use the chart to identify stalls in development, celebrate breakthroughs, and adjust training focus for the next phase of your season plan.

Organize athletes into Lists

Lists (previously called Groups) let you segment your athletes by age bracket, skill level, position, or any criteria you choose. Create a List from the Athletes page, then assign athletes to it. Lists are useful for filtering attendance, planning position-specific drills, and generating targeted progress reports.

Download a registration form

Click Registration Form at the top of the Athletes page to download a printable PDF. The form includes sections for athlete details, contact information, parent/guardian details, emergency contacts, medical notes, and a consent signature field. Your name and club logo are pre-filled in the header.

Hand these out at tryouts, camps, or the start of a new season to collect information before adding athletes to the platform. The registration form is available on all plans.

When viewing a session, you can attach athletes for attendance tracking. This builds a participation history on each profile so you can see how many sessions a player has attended over a given period.

Send progress reports

Pro and Club coaches can email progress reports directly from an athlete's profile. Reports summarize recent metrics, attendance trends, and any notes you've added -- ready to share with players, parents, or support staff.

Independent athlete accounts

Athletes can create their own accounts and link to your coaching profile. Once linked, they can view sessions they're assigned to and see their own progress data without needing access to your full coaching workspace. Learn more in the Athlete Accounts guide.

When you add an athlete under 13, the platform requires verifiable parental or guardian consent before the profile can be saved. You can send a consent request by email or record offline consent collected on paper. Learn more in the Parental Consent guide.

Every profile has a Forms & signatures card that tracks everything the athlete has signed. From there you can send an onboarding pack -- a bundled wizard of parental consent, photo/video release, and any compliance forms -- or send a single athlete form for one-off paperwork. Track signing status, nudge guardians, and revoke links from the same card. Forms and packs are available on Pro and Club.

Data security and retention

Sensitive fields on every athlete profile -- date of birth, medical notes, email, phone, and emergency contact details -- are encrypted at rest. You don't need to do anything to enable this; it's on for every account.

Athlete records that haven't been touched for six years are automatically removed. Two warning emails are sent before any deletion happens, so nothing disappears without notice:

  • The first email lands when an athlete crosses the six-year inactivity mark, with 14 days' notice.
  • A reminder follows three days before the scheduled removal in case the first email was missed.
  • Any interaction with the record -- editing a field, logging a measurement, marking attendance -- resets the inactivity clock and cancels the scheduled removal.

Erasing an athlete (the Delete athlete (erase data) action on the profile) is immediate and irreversible -- there is no recoverable-deletion bucket. If you only need to take a player off the active roster, use Mark as Inactive instead; you can flip them back to active any time.
