Teams let multiple coaches work in a single shared workspace. Everyone on the team sees the same activities, sessions, athletes, and season plans -- no more emailing spreadsheets or duplicating drills across accounts.
Teams are available on the Club plan ($29/month USD -- see planner.coach/pricing for your local currency).
Creating a team
Go to the team switcher in the sidebar and click Create Team. Give it a name and select your sport. You become the team owner automatically.
Once your team exists, you can switch between your personal workspace and the team workspace using the same team switcher dropdown. Data created in team mode belongs to the team. Data created in personal mode stays private to you.
Inviting members
Open Team Settings and click Invite Member. Enter the person's email address and choose a role. They'll receive an email with a link to join. If they don't have a Planner.coach account yet, they can sign up through the invite link and will be added to your team automatically.
Roles and permissions
Every team member has one of six roles: Owner, Admin, Coach, Assistant, Safeguarding Officer, and Viewer. Permissions are hierarchical -- each role includes everything the role below it can do. Safeguarding Officer is a read-only role with extra access to the team compliance dashboard and credential documents -- see the Safeguarding Officer role guide for details.

Feature access in team mode
When working in a team workspace, feature access for every member is determined by the team owner's subscription -- not each member's personal plan. If the owner has a Club plan, all team members can access Club-tier features like training programs, athlete intake forms, email reports, and unlimited entity limits while working in the team context.
This means team members don't need their own paid plan to use paid features within the team. A coach on the Free plan who joins a Club team can create training programs, send athlete forms, and use all Pro and Club features through the shared workspace. Their personal workspace still follows their own plan's limits.
AI credits in team mode
When you or your staff use the AI coaching assistant while in team mode, credits come from the team owner's pool. Assistants and viewers can't spend AI credits. The owner's plan sets the monthly credit allotment -- Club plans include 20,000 AI credits per month.
Switching contexts
Use the team switcher in the sidebar to move between personal and team workspaces. The topbar shows a badge with the team name when you're in team context, so you always know where you're working. Any data you create while in team context is shared with the entire team.
Activity log
Every team workspace has a running activity log -- sessions created, athletes viewed, members joining, consents signed. Coaches and admins can filter, search, and export it; sensitive categories like athlete access and consent are visible to admins only. See the Team Activity Log guide for the full breakdown.
Safeguarding compliance
Club teams include a built-in safeguarding compliance view. Each coach records their own credentials in Settings -- whichever apply where they coach, including the UK Disclosure and Barring Service (DBS), the Australian Working with Children Check (WWCC), US Center for SafeSport training, national first-aid certifications, and federation coaching licences. Owners, admins, and safeguarding officers then see an at-a-glance dashboard of who's current, lapsing, or expired.
