Every team member is given a role when they join. The role decides what they can see, what they can change, and whether they can spend AI credits from the team pool. Roles stack -- a higher role can do everything the role below it can do, plus more.
If you're not sure which to give someone, the Choosing the right role table near the bottom of this page maps common situations to the right fit.
The six roles
Owner
The owner is the person in charge. Usually that's the head coach, club director, or whoever set up the subscription. The owner can do everything: manage members, edit any data, change settings, and handle billing.
Every team has exactly one owner, and the role can't be transferred or demoted. Whoever creates the team becomes the owner automatically.
Admin
Admins help the owner run the team. They can invite and remove staff, change other members' roles, and edit any activity, session, athlete, or program in the team workspace. They can't access billing, and they can't promote anyone to owner.
This is the right role for an assistant director or a senior coach who shares day-to-day team admin with you.
Coach
Coaches are your hands-on staff. They can create, edit, and delete team activities, sessions, athletes, programs, and season plans -- everything they need to actually run sessions. They can't manage other members or change team settings.
Give this role to anyone who runs sessions or works directly with athletes.
Assistant
Assistants help out without taking the lead. They can view everything in the team workspace and edit items they created themselves, but they can't create new ones, delete anything, manage members, or spend AI credits from the team pool.
Use this for part-time helpers, interns, or volunteers who contribute but don't need full coach access.
Safeguarding Officer
A read-only role built for welfare and child-protection leads. Safeguarding Officers can view all team data, the team compliance dashboard, and any credential documents your coaches have uploaded -- so they can check who's current without touching session plans. They can't edit, create, delete, manage members, or spend AI credits.
This is the role for a designated welfare officer (in the UK, your Club Welfare Officer; in the US, your SafeSport lead). See the Safeguarding Officer role guide for the full picture.
Viewer
Viewers can see everything in the team workspace but can't change anything. No editing, no creating, no deleting, no AI credits.
Use Viewer for a parent who wants to follow their child's progress, a guest coach popping in for a week, or an administrator who needs visibility without an editing role.

* Off by default; the team owner enables admin document visibility per team. Safeguarding Officers always see scans.
Changing a member's role
Owners and admins can change roles from Team Settings. Open the member list, click the menu next to the member you want to change, and pick a new role. A few rules to keep in mind:
- You can't change your own role.
- Only the owner can promote someone to admin.
- The owner role can't be reassigned.
Feature access and roles
Feature access in a team workspace is based on the team owner's subscription, not each member's personal plan. If the owner is on the Club plan, every member can use Club-tier features (training programs, athlete forms, email reports, and more) while they're working in the team context. Their personal workspace still follows their own plan.
AI credits and roles
When a team member uses the AI assistant in team context, credits come from the owner's pool. Assistants and viewers can't spend team credits at all. See Credits Explained for how credits work.
Coaches and above can also open the Team Activity Log, which records who did what in the team workspace -- with admin-only categories for athlete-access and consent events.
